Booking a space in the Union

The Union has several spaces which are available to book for free by students, societies, sports clubs, student groups, and student networks. Whether you’re looking for group study space, somewhere to host a committee meeting, social event, workshop, or if want to book out our games room we will find the perfect space for you!

How to book a space in the Union:

  • Identify which space you would like to book using the information on this page.
  • If you are booking group project pods, seminar space or project rooms your booking will be confirmed straight away.
  • If you are booking any rooms on Level 4 of the Union, your booking will first need to be approved and we will get back to you as soon as possible to confirm.

Important notes when booking a space in the Union:

  • All bookings for spaces on Level 4 of the Union need to be submitted at least 2 full working days before your event.
  • Any bookings involving external speakers need to be submitted at least 3 weeks in advance of your event.
  • If you are holding an event in the Union, risk assessments will need to be completed before booking out a space. Templates are available in the 'forms and admin' sections at this link. Please send these risk assessments to societies@rguunion.co.uk for approval.
  • Activities involving food or drink will need to be shared with the University's catering provider, Aramark, for approval. Our team can help you with this.

Please note that study rooms on level 3 can be booked for 2 hours and rooms on level 4 can be booked for 4 hours. Back to back bookings for level 3 may be cancelled and back to back bookings for level 4 may not be accepted.

Social Space (412)

This space is based on Level 4 of the Union in the Riverside Building. It has a pool table (free play), relaxed seating to sit with friends, a small stage area with PA and access to a microphone, board games, a big screen and 6 other TV screens, plus charging sockets for phones and laptops. This room is open to students all day and can be booked out by clubs, societies, groups etc from 3pm until the building closes at 8:30pm.

1 x 90" large screen (HDMI connection), 6 x Screens (HDMI connection), 1 x PA system, 1 x Wireless microphone, 1 x Pool table (free play), 15+ Board games
 

Games Room (414)

The games room is based on Level 4 of the Union in the Riverside Building. It has 2 pool tables (free play), 3 consoles with games, arcade machines and a big screen projector. This room is open to students all day and can be booked out by clubs, societies, groups etc from 3pm until the building closes at 8:30pm.

1 x Projector (HDMI & VGA connections), 1 x Computer, 3 x Screens (HDMI connection), 2 x PS4 consoles, 1 x Retro PS2 console, 1 x PacMan arcade machine, 1 x Street Fighter arcade machine, 2 x Pool tables (free play)

Boardroom

The boardroom is on Level 4 of the Union in the Riverside Building and can be booked by large student project groups or by clubs and societies for meetings. It has seating for 18 people around a table, with access to a projector.

Meeting Room (413)

This room is on Level 4 of the Union in the Riverside Building and can be booked by student project groups or by clubs and societies for meetings. It has seating for 12 people around a table, with access to a large interactive screen.

Project Rooms (322 & 323)

These rooms are on Level 3 of the Union in the Riverside Building and can be booked by student project groups or by clubs and societies for meetings. They have seating for 8 people around a table, with access to a wall-mounted screen.

Each room has 1 x Screen (HDMI connection) and 1 x Computer

Seminar Space

This space is on Level 3 of the Union in the Riverside Buildingand can be booked by student project groups or by clubs and societies for meetings. There is seating for 12 people around a table, with access to a projector. Please note this space is not fully enclosed therefore may not be not suitable for confidential or private meetings.

Project Pods

We have 8 pods available to book on Level 3 of the Union in the Riverside Building. They are small group workspaces, with a capacity of 8 people, within high-backed comfy sofas. Each pod is equipped with a screen.
